Who publishes this website and who is responsible for data processing

Mama Cool Club Studio, a micro-enterprise registered in France and located at 138 avenue de Versailles, 75016 Paris, operates the website mamacoolclub.com. Mama Cool Club Studio is responsible for processing the personal data collected on this website, in accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act.

This policy applies to anyone who visits mamacoolclub.com, joins the waiting list, or books a Mama Cool Club stay.

Data Collected

Depending on how you use the site, we collect:

  • Sign up for the waiting list / newsletter: first name, email address.

  • Booking a stay: last name, first name, email address, phone number, mailing address, first name and age of the accompanying child (required for organizing the stay and for supervision by the nannies).

  • Payment: Payment information (card number, etc.) is entered directly through our payment provider’s secure interface and is neither collected nor stored by Mama Cool Club Studio.

  • Referral Program: Email addresses of the referrer and the referred person as part of the referral program.

  • Site navigation: technical data (IP address, device type, pages viewed) collected via cookies and trackers, as described in the Cookies and Trackers section.

  • Correspondence: the information you provide when you contact us by email.

Purposes and Legal Bases

  • Manage your spot on the waiting list and receive notifications when sales open — legal basis: consent

  • Process your reservation and fulfill the contract (organizing your stay, billing) — legal basis: performance of the contract

  • Sending you our newsletter and special offers — legal basis: consent

  • Manage the referral program — legal basis: consent

Recipients and Subcontractors

Your data is intended for Mama Cool Club Studio and, to the extent strictly necessary, for the following service providers:

  • Website Host (Squarespace): website hosting and registration forms

  • Email marketing solution: sending newsletters and communications (tool not yet finalized at this stage)

  • Online payment provider: secure payment processing (provider not yet selected at this stage)

  • Audience measurement and advertising tools: audience measurement and advertising campaigns (tools not yet finalized at this stage)

  • Local service providers for the stay (villa, staff): only the information necessary to accommodate your pair (e.g., the child's first name and age)

We never sell your personal information to third parties.

Data Transfers Outside the European Union

Some of our service providers, including our web hosting provider (Squarespace) and, depending on the tools used, any payment, email marketing, or web analytics providers, may be located outside the European Union, particularly in the United States. When data is transferred outside the EU, it is governed by appropriate safeguards (the European Commission’s standard contractual clauses or an equivalent mechanism recognized by the GDPR).

Shelf Life

  • Waiting list / newsletter: until you unsubscribe, or 3 years after your last contact with us

  • Reservation and billing data: for the duration of the business relationship, then 10 years for accounting and tax purposes (legal requirement)

  • Data on the accompanying child: duration of the stay in question; this data is deleted once the stay is over (except for information included on the invoice)

Cookies and Trackers

During your first visit, a banner will allow you to accept or decline non-essential cookies.

  • Strictly necessary cookies: essential for the website to function (e.g., display, security). They do not require your consent.

  • Audience measurement cookies: help us understand website traffic. Subject to your consent.

  • Advertising cookies: used to measure the effectiveness of our campaigns and show you relevant ads. Subject to your consent.

You can change your preferences at any time through the website's cookie settings or your browser's settings.

Data Regarding Children

Since our programs are designed for mother-child pairs, the first name and age of the accompanying child are provided to us by the parent or legal guardian at the time of booking, for the sole purpose of organizing the program and the supervision provided by our on-site team. We do not collect any data directly from the child and do not send them any marketing communications.

Your Rights

In accordance with the GDPR, you have the following rights regarding your personal data:

  • Right of access: to obtain a copy of the data we hold about you.

  • Right to rectification: to have inaccurate or incomplete data corrected.

  • Right to erasure: Request that your data be deleted, subject to our legal obligations (e.g., accounting requirements).

  • Right to object, including to receiving our marketing communications.

  • Right to data portability.

If you believe your rights have not been respected, you may file a complaint with the CNIL (France, www.cnil.fr) or with the data protection authority in your country of residence.

Data Security

We implement reasonable technical and organizational measures to protect your data against loss, unauthorized access, or disclosure: access is limited to authorized personnel; hosting is provided by reputable service providers (Squarespace); and payments are processed by a PCI-DSS-certified service provider that never shares your full banking information with us.
